This policy explains how SoloDocket collects, uses, stores and shares personal information when you use the SoloDocket website, app and support services.
Privacy laws
SoloDocket handles personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Additional rights may apply if you are in the European Economic Area, United Kingdom, California or another place with its own privacy laws.
Information we collect
The information we collect depends on how you use SoloDocket. It may include:
- Account and business details: your name, email address, business name, role, contact details and sign-in information.
- Participant and representative details: names, contact details, invoice recipient details and information needed to identify the person receiving support.
- Shift and service records: dates, start and finish times, support items, rates, kilometres, notes, attachments, confirmations and signatures.
- Invoice information: line items, totals, payment status and the person or organisation receiving the invoice.
- Location: a location may be saved when you choose to clock in or clock out while the app is open. SoloDocket does not use continuous background location tracking.
- Technical information: device type, operating system, app version, IP address, security logs, crash details and basic diagnostic information.
- Support and website messages: information you provide when you ask a question, report a problem or give feedback.
- Subscription information: your plan, trial, renewal and payment status. App stores and payment providers process payment card details. SoloDocket does not need to receive your full card number.
Sensitive information
Shift notes and attachments may contain health or disability information. This can be sensitive information under Australian privacy law. Only add information that is needed for the service record and that you are authorised to collect. SoloDocket uses this information to provide the app features you request.
How we collect information
We collect information directly from you when you create an account, use the app, complete a website form or contact us. We may also receive information from a participant, representative, your authorised team member, an app store, a payment provider or another service you choose to connect.
How we use information
We use personal information to:
- create and secure your account;
- save, sync, check, export and display shift records;
- prepare invoices and send them when you ask us to;
- process trials, subscriptions and account changes;
- provide support and respond to requests;
- detect misuse, investigate technical problems and improve reliability;
- meet legal obligations and protect our rights; and
- send product news or offers when you have agreed to receive them.
You can unsubscribe from marketing emails at any time. We may still send service messages that are needed for your account, such as security, billing or policy updates.
Your responsibility for other people's information
Independent providers often enter information about participants, representatives and invoice recipients. Before adding that information, you must have a lawful reason and any consent or authority that is required. You should tell those people how their information will be handled and avoid entering information that is not needed.
Website forms
Website forms are for account and product enquiries. Do not include participant names, NDIS numbers, health information or support records in a website message.
When we share information
We do not sell personal information. We may share only the information needed with:
- hosting, database, authentication, email, support, security and technical service providers;
- app stores, subscription and payment providers;
- invoice recipients, accounting services or other services you direct SoloDocket to use;
- professional advisers, insurers, regulators or authorities where reasonably required; and
- another business involved in a proposed sale, merger or restructure, subject to appropriate confidentiality and legal requirements.
Service providers may only use information for the service they provide to us, subject to their agreements and applicable law.
Overseas processing
Some technology providers may process or store information outside Australia. The locations can change as provider infrastructure changes. Where Australian privacy law applies, we take reasonable steps to use providers with suitable privacy and security protections.
Cookies and browser storage
SoloDocket uses browser storage to remember your privacy choices. This is necessary for the privacy controls to work and cannot be switched off through the cookie settings.

If you allow analytics, SoloDocket uses Google Analytics 4 to understand visits, page use, waitlist activity and selected website actions. Google Tag Manager delivers and manages approved measurement code. Google Analytics and Google Tag Manager do not load until you allow analytics. SoloDocket does not use these services to collect participant records, support notes or information entered into the app.
Marketing technologies are not currently used. They remain off unless you allow them and SoloDocket introduces a clearly described marketing service.
You can accept, reject or change optional technologies at any time. Select in the website footer. Rejecting optional technologies will not stop the website from working.
Global Privacy Control
If your browser sends a Global Privacy Control signal, SoloDocket treats it as a request not to use marketing technologies or share website activity for targeted advertising. This choice stays off while the signal is active.
California privacy choices
SoloDocket does not sell personal information or share website activity for cross-context behavioural advertising. If California privacy law applies to you, you can ask what information SoloDocket holds, request a copy, ask for correction or deletion, or ask us to limit eligible uses. We will not treat you differently for making a privacy request. We may need to verify your identity first.
Storage and security
SoloDocket uses access controls, encrypted connections, platform security features and operational safeguards to protect account and record information. No online service can remove every risk. You are responsible for using a strong password, protecting your device and keeping sign-in details private.
Retention, export and deletion
We keep account and record information while your account is active and for a reasonable period afterwards to provide exports, resolve disputes, prevent fraud and meet legal obligations. Retention periods depend on the type of information and applicable law. You remain responsible for keeping any business, tax, NDIS or service records required for your work.
You can request an export or account deletion. Some information may remain in secure backups for a limited time, or be kept where the law requires it. We may retain de-identified information that can no longer reasonably identify a person.
Accessing and correcting information
You can update some information in the app. You can also ask for access to, correction of or a copy of personal information we hold about you. We may need to verify your identity and may refuse a request where the law allows us to do so.
Children and participant records
SoloDocket accounts are for adults who can enter a binding agreement. The app may contain authorised service records about a participant who is under 18. The account holder must have the authority required to collect and use that information.
Privacy complaints
If you believe we have not handled personal information properly, contact us first and explain the issue. We will investigate and respond as soon as reasonably practical. If you are not satisfied, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy when the app, our providers or the law changes. The latest version will be posted here with a new date. We will provide additional notice where a change materially affects how personal information is handled.
